Waitlist Welcome Email Template
Confirm an app waitlist signup with an honest availability statement, clear update expectations and one optional research question.
When to use this template
Use this when a person has deliberately joined your app’s public waitlist and expects a confirmation. State what they joined, whether access is available and what kind of updates they can expect.
Choose another approach when: The address was scraped, access is being offered to a different group, or you cannot explain the signup and communication permission.
Gather these inputs
- The public product description and current access status.
- The actual signup context and subscribed update types.
- A working reply address and preference or unsubscribe destination.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
Subject: You’re on the Handoff Notes waitlist Thanks for joining our list for a tool we are building to keep client handoff instructions together. The product is not publicly available yet, and joining this list does not grant beta access. We have not announced a public release date. We’ll send the product updates you requested at signup. If you want to share how you hand over project instructions today, you can reply to this email; answering is optional. You joined through our public waitlist form. Your preferences and unsubscribe link are below. Handoff Notes is a fictional example.
How to use it
- Trigger the confirmation only after a real signup and apply the appropriate permission settings.
- Replace every availability statement with the actual current product status.
- Test the reply and preference paths before enabling the message.
Check before using it
- Waitlist membership is not described as usable product access.
- No launch date, discount or priority position is invented.
- Marketing preferences and required unsubscribe mechanisms work in the sending system.
What to measure
Check successful confirmations, replies and preference changes separately. Provider acceptance is not proof of inbox placement, and opening this email is not evidence that the person has used the product.
