When to use this template
Use this after a genuine webinar recording exists and an authorized owner is considering a public replay. Review the exact cut, materials and permissions before sharing its URL.
Choose another approach when: You have only a private rehearsal, intend to publish attendee names or questions without appropriate scope, or want to describe an edited replay as a live event.
Gather these inputs
- The actual recording and exact candidate cut with its date and product version.
- Speaker/material approvals and the context of recording notices and participation.
- The proposed public destination, replay audience and available captions or supporting text.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
Fictional example: a webinar recording includes an attendee name and an account-specific troubleshooting question. The proposed replay is reviewed as a new public asset; the editor cannot assume the original recording notice authorizes every marketing reuse. The team works from a separate candidate cut and preserves the original. A dated “join us live tomorrow” instruction is replaced with truthful replay context, and the final captions are checked after the edit. The replay remains held if material permissions or its access route are unresolved. This worksheet publishes no recording, uploads no attendee data and does not declare that one provider consent prompt satisfies every legal requirement.
How to use it
- Identify the exact replay audience, candidate version and approval scope.
- Review material rights, private attendee content and stale live-event claims.
- Check the final cut and intended access route before any separately authorized release.
Check before using it
- The original recording is preserved while the candidate cut is reviewed.
- Recording consent has not been assumed to grant unrestricted public marketing reuse.
- The final replay is accurately labeled and its captions match the actual edit.
What to measure
Track privacy or permission gaps caught, stale instructions corrected and final-playback issues. Verify actual publication separately from an internal approval. This review does not grant reuse rights or certify jurisdiction-specific recording consent.
Research and sources
Zoom documents recording-consent prompts; W3C WAI supports accessible event materials. The distinction between recording context and public replay approval is an original editorial safeguard, not a claim that provider prompts establish universal legal permission.
- Zoom: Providing consent to be recorded — checked 2026-10-24. Provider recording notices and participation context. Does not establish unrestricted public marketing reuse rights or global legal compliance.
- W3C WAI: Making Events Accessible — checked 2026-10-24. Accessible advance materials, visual descriptions, clear audio and participation alternatives for live presentations. Not an accessibility certification.
