Beta Access Capacity Plan
Pace software beta invitations against observed onboarding effort, support coverage and access reliability before expanding the participant group.

When to use this template
Use this when approved volunteers are waiting but the team has limited time to help them start. Review current access reliability and unresolved issues before opening the next invitation group.
Choose another approach when: You want to calculate a guaranteed safe user limit from a guessed average, use a support worksheet as a security or load test, or issue access before a fresh approved account can complete the promised task.
Gather these inputs
- Observed onboarding and support work, including unusually difficult cases and unresolved requests.
- Real team coverage and existing commitments during the proposed invitation period.
- Current access-journey evidence, important product limits and a named pause decision owner.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
Fictional example: a solo founder can cover a small invitation period, but several current testers are blocked by an access error. Even if a spreadsheet suggests spare time, the founder holds further invitations until a fresh approved account reaches the first checklist. After the fix, the founder chooses a small next group as a planning judgment and records the observed support range. One unusually difficult setup is retained in the record instead of being hidden by an average. When requests exceed the agreed coverage, new invitations pause and waiting volunteers receive an accurate status. Existing testers keep their agreed access. The plan does not claim that this proves server capacity or makes a public launch ready.
How to use it
- Resolve blocking access failures and inspect actual effort before proposing the next group.
- Choose a bounded invitation group with named coverage, uncertainty and pause conditions.
- Observe workload and task outcomes, then decide whether to hold, adjust or expand the next group.
Check before using it
- The invitation estimate is not presented as a proven infrastructure or security capacity.
- Outliers and existing support commitments are included in the decision.
- Pausing new invitations does not delete accounts, revoke agreed access or invent a release date.
What to measure
Track access failures, time to assistance, unresolved task blockers and actual team effort through each invitation group. Use the evidence to adjust pacing. This plan alone cannot validate infrastructure headroom, safe concurrency, retention or readiness for every public user.
Research and sources
GOV.UK’s beta guidance emphasizes limited rollout and enough team and support capacity to learn and iterate. The invitation-pacing record is an original commercial-software adaptation, not a staffing benchmark, a load test or a claim that government assessments apply to this product.
- GOV.UK Service Manual: How the beta phase works — checked 2026-10-24. Limited invitations, learning and support capacity during beta. Government assessment procedures and rollout claims are outside these templates.
