Contextual Help Writing Brief Template
Place a small useful explanation beside the task that needs it, with an appropriate trigger, dismiss path and way to find the information again.
When to use this template
Use this when a product concept is difficult during a specific action and a long first-use tour is being considered as the default remedy.
Choose another approach when: You want to add intrusive promotional overlays, force memorization of steps, or use help text to compensate for a fixable basic interface problem without examining it.
Gather these inputs
- An observed task difficulty and the relevant interface context.
- The smallest useful explanation and actual working action.
- A feasible non-intrusive way to access and revisit help.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
A fictional client-preview control confuses users who think it immediately shares a checklist. The team first improves the label, then considers a small contextual explanation stating what preview actually does and how sharing differs, if that distinction exists. The explanation is available where the control is used and can be reopened. It is not a mandatory overlay shown whenever the app starts. The brief does not assume a tooltip is the right pattern before checking how people using different input methods can reach it.
How to use it
- Confirm a real task difficulty and examine the interface itself before adding help.
- Write the minimum accurate explanation for the relevant moment.
- Verify access, dismissal, rediscovery and actual task continuation.
Check before using it
- The trigger reflects a real task rather than a promotional schedule.
- The explanation does not require remembering several distant steps.
- The information remains reachable after dismissal.
What to measure
Observe task recovery and whether help creates new interruptions. Contextual assistance is a design hypothesis to verify, not a guarantee that a particular tooltip improves retention.
