When to use this template
Use this after someone expresses interest and before offering access or a pilot. Check the real task and operational requirements, rather than assuming a matching job title is enough.
Choose another approach when: You intend to infer sensitive personal traits, approve access without authorization, or treat the worksheet as a predictive lead score.
Gather these inputs
- The prospect’s voluntarily shared task, current process and desired outcome.
- The actual product availability, access requirements and known limits.
- A named person responsible for support and a safe first task.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
Fictional prospect wants to prepare a website handoff this week. The product supports organizing notes but not transferring domain ownership, which the prospect initially expects. The founder clarifies that boundary before access. The prospect can use sample notes and has permission to evaluate the tool, so a limited organizer walkthrough may fit. Domain transfer stays out of scope. The record describes readiness for that specific task, not a high purchase probability or a claim that the product solves the whole handoff.
How to use it
- Ask for the recent task and compare it with capabilities that exist today.
- Resolve necessary access, safe inputs and support ownership before making an offer.
- Record a bounded next step or defer with a clear explanation of the missing condition.
Check before using it
- Interest is not equated with permission or practical readiness.
- Unsupported workflow expectations are corrected before access.
- No score is invented from guesses about the person.
What to measure
Track whether people classified as ready can actually attempt the agreed task. Investigate avoidable deferrals and unexpected blockers without describing the sheet as a validated sales prediction model.
