Personalized Email Render and Link QA
Review a personalized email’s rendered variants and real destinations, covering merge-tag cases that an ordinary test message or link checker may miss.

When to use this template
Use this after an email draft is complete and the team needs to check data-dependent variants before an authorized campaign. Define controlled test cases rather than relying on one generic preview.
Choose another approach when: You only need copy for a welcome email, intend to expose a real contact’s private access link, or want to count a generic test email as proof that every merge tag works.
Gather these inputs
- The final email version and every personalization or conditional-content field it uses.
- Controlled records for populated, missing and unexpected field cases.
- The actual destination requirements, safe preview context and authorized release owner.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
Fictional example: an access email contains an optional first-name field and a destination determined by a test account's eligibility. A generic test shows a raw field, so the reviewer checks the appropriate data-backed preview instead of rewriting a working personalization tag blindly. The missing-name case needs a natural greeting, while the ineligible case must not promise immediate access. A checker reporting the ordinary links as valid cannot verify the personalized destination; the controlled route gets its own check. Only safe test references enter the handoff. The final email version, actual reviewed clients and unresolved cases are recorded. No live subscriber message or private access link is sent or published by this worksheet.
How to use it
- Enumerate meaningful personalization states and define truthful output for each.
- Review data-backed rendering and separately test links outside checker coverage.
- Retest corrections in the final version and record the actual client scope.
Check before using it
- A generic test message is not the only evidence for contact-specific rendering.
- Fallback text and access promises are accurate for missing or ineligible cases.
- Private tokens and real subscriber information stay outside public review notes.
What to measure
Count rendering failures, destination mismatches and unresolved variants before release. Later recipient replies and completed actions are separate outcome evidence. Passing selected previews does not establish every-client rendering or inbox placement.
Research and sources
Mailchimp documents contact-specific test-message limitations and Link Checker exclusions. This original variant matrix adds outcome and privacy checks without sending test mail, changing an audience or claiming a universal email-client certification.
