Webinar Reschedule Email Template
Notify actual registrants of a confirmed event change with old and new times, access details and a real way to change participation.
When to use this template
Use this when an event’s reschedule is approved and the new session details and affected registration list are verified.
Choose another approach when: The new time is undecided, you want to imply every registrant can attend, or you would reuse an obsolete join link without checking it.
Gather these inputs
- The previously communicated event details and confirmed new schedule.
- The actual join/registration behavior after the change.
- A working participant-choice and support route.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
A fictional handoff webinar moves from 5 November at 16:00 UTC to 6 November at 17:00 UTC. The email presents both times so registrants can identify the change. It states that registration remains valid only after checking the event system. The team replaces the calendar destination and suppresses the old reminder. It does not tell attendees a recording will be available unless that is confirmed. A participant who cannot attend is given the real available option rather than being silently moved into a different promotional audience.
How to use it
- Verify the old promise, approved new schedule and registration consequences.
- Give registrants clear old/new details and an actual participation choice.
- Test join/calendar routes and stop outdated reminders before an approved notification.
Check before using it
- The old and new times are distinguishable and include timezone.
- Registration continuity is verified rather than assumed.
- No unconfirmed recording or alternative session is promised.
What to measure
Monitor schedule-confusion questions and whether registrants can use the current access route. A reschedule notice does not establish successful calendar updates, attendance or acceptance of the new time.
Research and sources
Event-message context and accurate information inform this original rescheduling email. It is not an automatic calendar update or permission to change any external event or registration.
