Customer Interview Invitation Template
Invite relevant app users to a discovery conversation with a clear purpose, time request and optional participation.
When to use this template
Use this invitation when you can identify a recent task someone completed and want to understand that experience. Personalize the observation, explain the research purpose and keep the request separate from a product pitch.
Choose another approach when: You cannot explain why this person fits the research, the community forbids recruitment, or you intend to present a sales demo while calling it an interview.
Gather these inputs
- The task you are researching and a recent example of the person doing it.
- A realistic conversation length and available times.
- Your identity, reason for researching the task and note-taking practice.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
Subject: How do you track overdue freelance invoices? Hi Mira, In your public bookkeeping discussion, you mentioned checking a spreadsheet before following up on invoices. I’m researching how independent designers decide which invoice needs attention. Would you be open to a 20-minute conversation about the last overdue invoice you handled? There is no product demo. I would take notes only with your permission and would not record without asking separately. If you’re interested, reply with a convenient time. If this is not useful, no reply is needed. Sam, independent software founder
How to use it
- Identify a participant from evidence of task experience rather than a broad job title alone.
- Adapt the request to the contact context and check that recruitment is allowed there.
- Send only to appropriate recipients, then interview volunteers about a concrete recent event.
Check before using it
- The observation is accurate and does not expose private information.
- The invitation does not imply payment, an incentive or anonymity you cannot provide.
- Declining does not require justification or joining a mailing list.
What to measure
Record invitations, voluntary replies and completed conversations separately. A high acceptance rate does not prove the product idea is valuable; assess the quality of the workflow evidence collected.
Research and sources
Yale’s question framework supports learning about existing tasks and experience. Torres distinguishes discovery interviews from sales conversations. The invitation wording and recruitment process here are original editorial applications, not source-tested response-rate claims.
