When to use this template
Use this after a genuine customer has voluntarily agreed to discuss an actual product experience for possible publication. This interview collects the story; a separate permission packet approves the exact public material.
Choose another approach when: You are still discovering whether a problem exists, want to script a glowing testimonial, or have no real customer experience to discuss.
Gather these inputs
- A real customer’s voluntary participation and the specific workflow period to discuss.
- The product version, implementation owner and factual records available for verification.
- A plan for keeping notes private and approving any exact public material separately.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
Fictional example: a customer agrees to discuss using a document tool for one handoff project. The interviewer asks about the previous workflow and discovers that a team member still prepared the source files manually. That assistance stays in the notes. A smoother final handoff is the customer's account of the experience, while any proposed time-saving number needs actual comparable records. The interviewer asks what did not improve instead of prompting the customer to praise the product. The story may be useful even without a numerical result. Participation in this conversation does not approve a logo, quote, case-study page or social post; the exact proposed public material goes through the existing reference-permission process.
How to use it
- Confirm voluntary participation and choose one actual workflow to reconstruct.
- Ask neutral questions about implementation, outcomes, assistance and remaining limitations.
- Resolve factual gaps and prepare a separate exact-material approval packet.
Check before using it
- Interview participation is not treated as public quote or logo permission.
- Manual assistance and unresolved limitations remain visible in the story evidence.
- A customer’s subjective account is not converted into an invented measured result.
What to measure
Review whether the conversation produced a verifiable workflow narrative and clearly identified gaps. Record rejected assumptions and corrections. A useful story is not proof that the same result is typical for every customer.

HubSpot describes customer participation, interviews from customer and delivery perspectives, and a factual story structure. The neutral guide here is original and does not adopt leading praise prompts, fabricated results or a guaranteed conversion claim.
