First Use Onboarding Email Template
Guide a new app user through one meaningful task with the necessary setup, an observable result and a practical support route.
When to use this template
Use this after a legitimate account signup when you know the person has not completed the core task and the message is appropriate for their requested service and preferences.
Choose another approach when: The account cannot access the described task, the message hides paid requirements, or you intend to send a generic series regardless of completed actions.
Gather these inputs
- One available first task and its exact setup requirements.
- The correct product destination for the recipient’s account state.
- A definition of completion and a monitored support path.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
Subject: Create your first client handoff checklist Start with a demo project before adding real client details. Open Projects, create “Sample handoff” and add one instruction such as “Where to update the homepage text.” Preview the checklist to see how the instruction will appear to a client. In this fictional product, creating a demo checklist does not require inviting anyone. If the preview does not open, reply with the screen name and error text, without sending private project information. A real automation should avoid sending this nudge after the same account has already completed the task.
How to use it
- Define the core first-use outcome with the product team or actual workflow.
- Test the steps from a fresh eligible account.
- Use completion state and communication settings to avoid irrelevant repeated nudges.
Check before using it
- The first task produces something the user can recognize as useful.
- Any required payment, permission or plan is stated before the action.
- Support instructions avoid passwords, sign-in codes and private records.
What to measure
Measure completion of the defined task among eligible recipients, retaining the cohort and window. Separate a support-assisted completion from an unassisted one when that distinction informs onboarding improvements.
