Ideal Customer Profile Worksheet
Define a software audience through a real task, trigger, current workaround and reachability instead of broad demographic labels.
When to use this template
Use this when “small businesses” or “everyone who wants productivity” is too broad to guide a useful marketing experiment. Start with a task someone recently performed and the circumstances that make it matter.
Choose another approach when: You need a demographic market-size estimate, intend to infer sensitive characteristics, or have no task evidence and want the worksheet to make guesses look validated.
Gather these inputs
- Recent accounts of the task from relevant people.
- Observed workarounds and circumstances, including contradictory cases.
- A legitimate way to reach this audience without collecting unnecessary personal data.

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
Working segment: independent designers handing over a finished client website. Trigger: a client needs to take over routine content updates after the project ends. Task: explain the update steps and confirm the client can find them later. Workaround: a mixture of email notes and a recorded walkthrough, according to the hypothetical research notes. Uncertainty: whether missing instructions are a recurring problem or just an isolated project issue. The segment is narrower than “all freelancers,” but it remains a research hypothesis until actual relevant people provide evidence. No market-size number is invented.
How to use it
- Define the recent task and trigger before writing a segment label.
- Attach evidence to each important problem or workaround claim.
- Use the profile to recruit or test a narrow message, then revise it when behavior contradicts the hypothesis.
Check before using it
- The profile describes a task people actually encounter.
- Demographics are not used as a substitute for relevance.
- Unsupported assumptions remain visibly separate from observed behavior.
What to measure
Track whether people recruited through the profile can recount the task and recognize the proposed problem. Relevant conversations are evidence for refining the segment, not proof of a large paying market.
