Product Launch Asset Handoff Template
Give a teammate one reliable inventory of approved launch copy, media, destinations, usage constraints and current versions.
When to use this template
Use this when several people or tools will prepare a release and they need to know which exact copy, screenshots and links are approved.
Choose another approach when: You want to place credentials in a shared folder, treat a draft label as approval, or reuse private customer screens without permission.
Gather these inputs
- A finite inventory of the assets required by the launch scope.
- Approved versions with public/private usage status.
- A responsible owner and the intended destination for each asset.
Copy and adapt the template

Worked example
Illustrative example, not a Crany customer result. Replace every example detail with facts you can verify.
A fictional launch folder contains two screenshots: an old prototype with imagined integrations and a current beta screen with sample data. The handoff approves only the beta screen and requires an “example project” label. The email copy references the same limited-beta access page as the website. A teammate can identify the current asset without guessing from filenames such as final-final-2. The record also excludes a credential file entirely; sharing a media handoff is not authorization to distribute account access.
How to use it
- Inventory only assets the specific launch needs.
- Attach approval, allowed use and context to each exact version.
- Verify final placements and replace stale references through the normal controlled workflow.
Check before using it
- No secret or unrelated private file is part of the handoff.
- Sample and prototype imagery is labeled accurately.
- Approval applies to the exact asset version being used.
What to measure
Track wrong-version incidents, broken launch links and missing-context corrections. A complete inventory reduces coordination ambiguity but does not establish that every external scheduler or publisher used the right file.
Research and sources
Prepared launch materials and accurate representation inform this original handoff format. Neither source provides an approval system or validates rights to individual media assets.
